2. Booking and Payments
A 25% non-refundable deposit is required to confirm any booking. Final payment is due (30) days before the event or travel date. We accept payments via credit cards, bank transfers, etc. All prices are subject to change until payment is received.
3. Late Payment Fee
A late payment fee of 5% of the outstanding balance or JMD $3,500, whichever is greater, will be charged for payments not received by the due date. This fee will accrue for each week the payment remains overdue, up to a maximum of 20% of the total booking amount.
4. Cancellations and Refunds
Cancellations must be made in writing. A cancellation fee may apply, depending on the service or merchant. Please refer to our Cancellation Policy below for detailed terms.
5. Liability
Sans Getaways and Planning is not liable for any loss, injury, or damage incurred during travel or events organized. We recommend purchasing travel insurance for coverage.
6. Changes to Terms
We may update our terms and conditions from time to time. Any changes will be posted on this page, and your continued use of our services will constitute acceptance of those changes.

Eligibility, Identification, and Pricing
At Sans Getaways and Planning, we are committed to offering exceptional travel and event planning services to individuals from all over the world. While we cater to people of all nationalities, please note that the prices quoted on our website and during booking are primarily intended for Jamaican citizens. To ensure the correct pricing for your services, we require proof of citizenship.
1. Proof of Jamaican Citizenship
To qualify for the rates designated for Jamaican citizens, you must provide a valid form of identification (ID) at the time of booking and upon arrival for any services related to travel or events. The following forms of ID will be accepted as proof of Jamaican citizenship:
• Jamaican Passport
• National Identification Card
• Voter Registration Card
Without valid proof of citizenship, service providers (e.g., hotels, airlines, tour operators) reserve the right to apply “tourist rates,” which may differ significantly from the local citizen pricing. These rates are typically higher and may vary depending on the service or provider.
2. Impact of Non-Jamaican Citizens on Pricing
If you are a non-Jamaican citizen or unable to provide proof of Jamaican citizenship, the following terms apply:
• The pricing for your travel or event services may reflect the standard tourist rates instead of the local rates offered to Jamaican citizens.
• You will be notified ahead of time if the pricing will differ based on your citizenship status.
• Additional fees or taxes may apply based on your nationality or residency status, especially for services that involve local or international travel.
3. Importance of Valid ID
For the seamless processing of your bookings and to avoid any unexpected price adjustments, it is essential to bring and present your valid form of ID whenever you book or use our services. Please be aware that failure to provide the required identification may lead to:

4. Responsibility for Ensuring Correct Identification
It is the responsibility of the client to ensure that all necessary documents are available at the time of booking and during service use. Sans Getaways and Planning is not responsible for any discrepancies in pricing due to the failure to provide valid proof of citizenship. To avoid confusion, please ensure that you review your documents before booking.
Booking and Payments

Payment Plan Options:
We understand that budgeting for your trip or event is important. To make the payment process easier, we offer flexible payment plan options tailored to suit your needs. Choose the option that works best for you:
1. Standard Installment Plan:
• Deposit: 25% of the total due at the time of booking.
• Installments: The remaining balance is divided into equal monthly or bi-weekly installments.
• Final Payment: Full balance due 30 days before the event or travel date.
2. Custom Payment Plan:
• Work with our team to create a customized payment plan that fits your budget and timeline. This option allows flexibility in the number of installments and payment frequency.
• Note: A minimum down payment may be required, and payment schedules will be adjusted based on your event or travel date.
3. Deferred Payment Plan:
• For those booking far in advance, we offer the option to defer payments for a set period.
• Deposit: 25% due at the time of booking.
• Deferred Payments: The remaining balance can be paid in full or in installments, with the final payment due 30 days before the travel or event date.
4. Short-Term Payment Plan:
• If your event or travel date is approaching, we offer a shorter-term payment plan where the remaining balance can be split over a 4-8 week period.
• Deposit: 25% due at the time of booking.
• Installments: Balance paid in 4-8 equal payments, depending on the date of the event or trip.
Payment Plan Terms:
• Payment plans are available upon request and subject to approval.
• Each installment must be paid on time to ensure your booking is confirmed and secured.
• If an installment is missed or delayed, your booking may be subject to cancellation or additional fees.
• For all payment plans, the final payment is due 30 days before the event or travel date.
Late Payments:
1. Payment Due Dates: All payment deadlines will be clearly stated in your invoice or booking agreement. It is the client’s responsibility to ensure that payments are made on or before the due date.
2. Late Payment Fee: Payments not received by the stated due date will incur a late fee of 5% of the outstanding balance or JMD $3,500, whichever is greater. This fee will be applied for every week that the payment remains overdue, up to a maximum of 20% of the total booking amount.
3. Notification of Late Payment: Clients will be notified via email or phone within 3 days after the payment due date if a payment has not been received.
4. Service Suspension: If the outstanding balance, including any accrued late fees, is not settled within 14 days after the payment due date, Sans Getaways and Planning reserves the right to suspend services, cancel bookings, or terminate the agreement.
5. Reinstatement of Services: Services can only be reinstated once the full outstanding balance, including late fees, has been paid. Reinstatement is subject to availability and may not guarantee the original terms of the booking.
6. Disputes and Errors: If you believe a late payment notice has been issued in error, please contact us within 7 days of receiving the notice to resolve the matter.
7. Waiver of Fees: In exceptional circumstances, late payment fees may be waived at the discretion of Sans Getaways and Planning.
Changes in Pricing:
Please note that any changes to your booking or additional services requested may result in an adjustment to the total cost. Once payment is completed, your pricing is locked in.
Credit Card Requirements for Incidentals:
Please be aware that many vendors may require a valid credit card to be placed on file to cover incidentals or additional charges. This is a standard practice across various industries and ensures a smooth experience for all clients. Vendors that may require a credit card include:
1. Hotels: To cover potential charges such as room service, mini-bar usage, or damages during your stay.
2. Car Rental Companies: For security deposits to cover potential damages, fuel charges, or late returns.
3. Vacation Rentals or Villas: To address any damages, extra cleaning fees, or additional services requested during your stay.
4. Cruise Lines: For onboard purchases, excursions, or additional charges like gratuities.
5. Tours and Activities: For equipment rentals, damages, or late cancellations.
The credit card is typically not charged unless applicable fees or charges are incurred. If you do not have a credit card, alternative arrangements, such as a refundable cash deposit, may be possible depending on the vendor. Please inform us in advance so we can confirm options with the service provider.
Availability
All our travel and event planning services are subject to availability. We recommend booking in advance to secure your desired dates and options. Availability may vary depending on the service provider, location, and season. Prices can also increase/decrease based on Availability, Location, and Season.
Cancellations and Refunds
At Sans Getaways and Planning, we strive to provide exceptional service and ensure that your travel or event planning experience is seamless. We understand that sometimes unforeseen circumstances may require you to modify or cancel your plans. Please review our cancellation policy below to understand how cancellations are handled, the associated fees, and the conditions under which cancellations can be made.
1. Cancellation by the Client
Travel Services (Flights, Hotels, Tours, Packages)
Cancellation Timeframe:
• Cancellations made 30 or more days prior to the scheduled travel date will incur a non-refundable deposit of 25% of the total booking cost.
• Cancellations made within 30 days or less of the scheduled travel date will incur a cancellation fee of 30% of the total booking cost, OR the entire booking amount, depending on the policies of the respective vendors (airlines, hotels, tours).
Refunds:
• For cancellations that qualify for a refund (as per the timeline above), the refund will be processed within 7 business days.
• Refunds will be issued to the original payment method used for the booking.
Vendor Policies:
• Travel bookings are subject to the cancellation policies of the airlines, hotels, and tour operators. Some travel services, such as flights or special packages, may have stricter cancellation policies, and in those cases, cancellations may not be refunded.
Non-Refundable Services:
• Certain services, such as insurance, certain hotel deposits, and special packages (e.g., non-refundable flight tickets), are non-refundable, even if canceled.
Event Services (Weddings, Corporate Events, Private Parties, etc.)
Cancellation Timeframe:
• Cancellations made 90 or more days prior to the event will result in a refundable deposit of 25% of the event package price, minus any non-refundable vendor fees already incurred.
• Cancellations made within 90 days or less of the event will incur a cancellation fee of 50% of the total event cost, or the entire deposit amount, depending on vendor commitments.
• Cancellations made within 30 days of the event will result in no refund of the deposit or any payments already made.
Refunds:
• Refunds will be processed within 7 business days for cancellations that qualify for refunds as per the timeframe outlined above.
• Refunds will be issued to the original payment method used for the booking.
Vendor-Related Cancellations:
• If vendors (e.g., catering, entertainment, decorators) are already contracted, their individual cancellation policies will apply. Cancellations may result in forfeiting any deposits paid to vendors and will be reflected in the final cancellation fee.
Non-Refundable Fees:
• Some event planning services, such as non-refundable deposits for venues or certain suppliers, are non-refundable even in the case of a cancellation.
Group Bookings
Group Travel (10 or more people):
• A non-refundable deposit of 25% is required to confirm a group booking.
• Cancellations for groups will be subject to individual vendor policies (hotels, airlines, etc.) and a flat cancellation fee of 30% of the total group booking cost, if canceled 30 days or less before departure or the event date.
Event Group Bookings:
• Cancellations by group leaders or organizers will be subject to the same policies listed above for individual event bookings. Any deposits paid for group services may be partially refundable depending on the specific event vendor cancellation terms.
2. Cancellation by Sans Getaways and Planning
We reserve the right to cancel or reschedule bookings or events due to exceptional circumstances, including but not limited to:
• Unforeseen natural disasters (hurricanes, earthquakes, etc.)
• Vendor failure or closure
• Health and safety risks (e.g., travel restrictions, pandemics)
• Force majeure events
In the event that we cancel your booking or event, we will:
• Provide you with a full refund of any amounts paid, minus any non-refundable third-party costs already incurred.
• Offer an alternative date or reschedule the event (if applicable), and we will do our best to accommodate your schedule.
3. Rescheduling Policy
Travel Services:
• Rescheduling your travel booking may be possible, subject to availability and any additional fees from third-party vendors (airlines, hotels, etc.).
• Rescheduling requests made within 30 days of the travel date may be subject to a rescheduling fee (typically 15% of the total cost) in addition to any vendor charges.
Event Services:
• Rescheduling an event is subject to vendor availability and may incur additional fees for changes to booking dates, venue availability, and service provider availability.
• Any additional costs associated with rescheduling (e.g., new vendor fees, new venue deposits) will be the responsibility of the client.
4. No-Show Policy
• If a client or guest does not show up for their booked travel service or event without prior notice, they will forfeit any payments made. No refunds or rescheduling options will be provided in these cases.
5. Special Considerations and Exceptions
• Emergency Cancellations: In the event of an emergency (e.g., illness, death in the family, etc.), we will work with the client to make arrangements for rescheduling or offer a partial refund where possible, subject to vendor and service provider terms.
• Travel Insurance: We highly recommend purchasing travel insurance to cover any unexpected cancellations or changes to travel plans, especially for non-refundable tickets or services.
6. How to Cancel or Reschedule
To cancel or reschedule your booking, please contact us as soon as possible:
When requesting a cancellation, please provide:
• Your booking reference number
• Full name of the client or event organizer
• Detailed reason for cancellation or rescheduling request
• Any relevant supporting documentation (e.g., medical certificates, emergency reports)
